Verify the email addresses in a ClickUp CRM List

Integration CRM, support and community

ClickUp email verification for a CRM List: export the view as CSV, verify the file in PricklyMails, then tag the clients with an address to remove.

There is no native ClickUp connector: you export the list, PricklyMails verifies it, and you bring the result back into ClickUp. New addresses can go through the API before they ever reach ClickUp.

Step by step

Clean your list in three steps

  1. In ClickUp

Export your CRM List from ClickUp

    Before you start

Exporting a view takes the Export Views permission for your role and at least Edit permission on the List: guests and limited members cannot export one.

    1. Open the List or Table view of the List that holds your clients.
    2. In the upper-right corner of the view, click Customize.
    3. Click Export.
    4. Under What To Export, choose Visible columns or All columns.
    5. Choose CSV as the File Format.
    6. Click Download.

    Warning

Collapsed groups are left out of the export: if your view groups its clients, by status for instance, expand every group before you export it.

    Tip

ClickUp's CRM guide keeps each client's address in an Email Custom Field. PricklyMails only needs that column: keep it alone in a spreadsheet before moving on.

  2. In PricklyMails

    Verify the file in PricklyMails

    1. In the dashboard, open Batches and click New batch.
    2. Drop the file you exported from ClickUp: a .csv or .txt with one address per line, no header row and no quotes. A header row would count as an address in the estimate, though it is never billed, and a quoted address would not be verified: the report lists both as malformed. You can also paste the list.
    3. The dashboard counts the addresses and shows the estimated cost in tokens before anything is sent, then you click Submit batch. A batch holds at least 20 addresses, and your plan sets the largest list it can hold.
    4. The list is verified in the background. Once the batch is done, open it and click Download report: you get a CSV with a row for each address of your file, giving its verdict, its reason, its score and its recommendation, with the dashboard's labels.

    Note

Download the report from the browser that sent the list: that browser is what keeps the addresses, for the 16 most recent batches at most. Our servers, in Germany, only keep a one-way fingerprint of each one.
    What the report says

Every address gets a recommendation: the action to take. The report writes it with the dashboard's label; the API returns a short form of it.

    Send
The address is valid, or hosted by a large provider that accepts every address without confirming any. Send as usual.
    Review
A domain that accepts any address (catch-all), a generic address such as contact@, a full mailbox, or a server that never answered, or refused to. Take a look before you send.
    Remove
The address does not exist, its domain cannot receive mail, or it is disposable, mistyped or malformed. Take it out.

    Note

A malformed address is never verified: the batch counts it under "Malformed addresses", and the report still lists it, with the verdict "Invalid", the reason "Malformed address" and the recommendation "Remove", so you take it out of ClickUp with the others. A duplicate, counted under "Duplicates removed", appears only once.

Behind each recommendation sit a verdict (Valid, Risky, Invalid or Not verifiable), a reason and a score from 0 to 100, each in its own column of the report. When a server never answers, the address comes back "Not verifiable" and the checks that got no answer are refunded.

  3. In ClickUp

Bring the result back into ClickUp

Open the report in a spreadsheet and filter the Recommendation column.

    Remove

Each one gets an email-remove tag, which a filter keeps out of the views you work from. The client tasks themselves stay.

ClickUp suggests tags to group tasks that share no status or Custom Field value. Tags work on every plan, once an admin or owner has activated the Tags ClickApp.

    1. Open the List view of the List that holds your clients.
    2. In the search bar in the upper-right of the view, type an address to remove.
    3. Hover over the task it finds, then click the tag icon.
    4. Type email-remove and pick the tag, or press Enter on PC or Return on Mac to create it the first time.
    5. Repeat from the search bar for each address to remove.
    6. In each view you work from, click Filter at the top of the view, then select Tags in the left dropdown of the Filters modal.
    7. Pick Is not in the middle dropdown and email-remove in the third: the view hides the clients to remove.
    Review

They deserve a look before you write to them. Give them an email-review tag the same way, then filter a view on Tags Is email-review to go through them.

    Send

Their tasks stay as they are: nothing to do.

    Note

The view's search bar only searches the Custom Fields shown as columns in the view: if an address finds nothing, show your Email Custom Field as a column first.

    Tip

Once a task carries a tag, hover over the tag and click the filter icon: the view then shows every client with the same tag.

Verify each address before it reaches ClickUp

Does your signup form or script add clients to a ClickUp List through its API, with the Create Task (opens in a new tab) call and the address in custom_fields? Ask PricklyMails first. If the recommendation is remove, don't create the task.

One call starts the verification and already flags a likely typo, a second one reads the verdict. Depending on your plan, a signed webhook can also send it to you as soon as it's ready.

Frequently asked questions

Is there a limit to how many views I can export?

On two plans, yes: ClickUp's help says the Free Forever and Unlimited plans can only export five List, Table or Form views, so export the one view that holds all your clients rather than one view per segment. A link to exported data expires after one hour, and ClickUp warns that exports of large Workspaces or large projects may not succeed.

Why a tag rather than a Dropdown Custom Field?

Because of the Free Forever Plan's Custom Field uses. ClickUp counts one use each time a value is added to a Custom Field on a task, your clients' addresses in the Email Custom Field included, 60 uses in all for the Workspace, and they do not reset: past them, no Custom Field takes a new value. Tags are available on every plan, up to 40 per task. Paid plans have unlimited Custom Field uses, so a Dropdown works there too.

Should I archive or delete the clients to remove?

You do not have to: the tag keeps them out of the views you filter, and their history stays in your CRM. To clear them out, ClickUp's help sets two options apart. An archived task leaves your views and can be searched for and viewed at any time, then unarchived. A deleted task goes to the Trash for 30 days before it is deleted for good, and its time entries are deleted for good right away. The Bulk Action Toolbar does either on several tasks at once.

Does PricklyMails connect to ClickUp directly?

No, there is no native connector: you go through a file export, as above. You can also call the PricklyMails API from your own code before an address reaches ClickUp.
